How to keep a simple inventory movement ledger that can be reconciled

A useful inventory ledger records movements, not just the latest balance. That makes it possible to explain why stock changed and reconcile a physical count.

Give each item a stable identifier

Use an SKU or internal code so similar names do not split the history.

Record every movement

Capture date, in/out quantity, location, reference and person or source where useful.

Calculate balance from movements

Keep opening balance plus movements traceable instead of typing over the current quantity.

Reconcile periodically

Compare the ledger with a physical count and record adjustments as explicit entries.
